How do you choose which processes to automate first?

Score each process on three things: how often it happens, how much of it is copying information from one place to another, and what goes wrong when it is late or missed. High-frequency copying work with a real cost of delay is the best place to start. Rare, judgement-heavy work is the worst.

Where does AI add value, and where is it unnecessary?

Most of the list is plain automation. AI is worth its running cost at the steps that involve reading unstructured input — a scanned bill, a long message, a free-text request — or writing a first draft for a person to check. Using a model to do something a rule can do adds cost and unpredictability for no benefit.

How do you know an automation is working?

  1. Write down how long the process takes and how often it goes wrong before you automate it.
  2. Log every automated run and every exception that needed a person.
  3. Review the exceptions monthly: each recurring one is either a rule to add or a step that should stay manual.

What about customer data and privacy?

Automations move personal data between systems, so decide up front where it is stored, who can see it and how long it is kept. India's Digital Personal Data Protection Act, 2023 applies to most businesses that handle customer data; keep consent records for marketing messages and use the official WhatsApp Business API rather than unofficial tools.

Do I need AI to automate my business processes?

Usually not for most of the work. Lead routing, reminders, invoices, stock alerts and reports are rule-based and are best handled by plain automation. AI is useful at specific steps that involve reading documents or messages, or drafting text for a person to review.
